Capitol Presence required an application to streamline our federal opportunity tracking process. We operate within highly regulated industries
and collaborate with the federal government. Our goal was to
efficiently track federal opportunities, manage the response
process for RFI (Request for Information) and RFPs
(Request for Proposals), facilitate collaboration among team
members, and monitor projections effectively.
The Need for New Solutions
When assessing our current process for tracking Federal Opportunities, we were able to identify several key problem areas:
Missed Opportunities: Without a tracking application, it becomes challenging to stay updated on new federal
opportunities in a timely manner.
Lack of Organization: Tracking and managing the response process manually can result in disorganization
and confusion.
Inefficient Collaboration: Without a centralized tracking system, coordinating and collaborating with team members becomes inefficient.
Monitoring Projections: Tracking applications can provide valuable insights and data regarding projected
revenue, success rates, and competition analysis.
Time and Resource Constraints: Responding to federal opportunities often involves complex processes and
requires substantial time and resources.
Development with Modern Tools
We adhere to a process driven development life cycle that ensures our solutions are not only effective in the present but are future proof. This process begins with the introduction of applications, followed by strategic planning for growth and expansion of both applications and functionalities. As the functionalities mature, they open the door for future proof automation. Our four phased approach includes Discover, Define, Develop, and Deliver phases.
CPTL Integrated a comprehensive tracking system through the utilization of Dynamics 365 along with customizable features to fit requirements needed for the purpose of monitoring the progress of both RFP and RFI responses from a high-level view.
CPTL has integrated power pages with our Dynamics environment to help track partnerships and partner opportunities. This portal captures all potential partner information such as POC, Capabilities statements, and company profile information.
CPTL added custom automation to keep all participants and divisions Up To Date on the opportunities tracked fields such as, Status, additional needs, documents, Agency's, partners, financial projections, along with automated alerts for better communication and transparency throughout the company.
We have integrated Power BI to track analytics related to the opportunities, including cost projections, commissions, rate of closure, and the ability to view the number of opportunities won versus lost.
